2. Who is the controller of your personal data?

Aneo is a simplified joint-stock company (SAS) with a share capital of €87,256, registered with the Nanterre Trade and Companies Register under number B 442 482 485, VAT number FR 42 442 482 485, located at 122, Avenue du Général Leclerc, 92100 Boulogne-Billancourt, France, and represented by Gwénaël Moy in his capacity as Chief Executive. It is referred to herein by its name, “we” or “our”.
As data controller, Aneo determines the purposes for which your personal data is processed and the means of processing used.

3. What personal data do we collect?

Aneo processes, in particular, the following categories of personal data:
•    Identity data: last name, first name, business contact details, personal contact details
•    Professional data: job title, company
•    Interaction data: content of exchanges, contact history, responses to our email campaigns
•    Recruitment data: CV, cover letter, any professional information provided during a recruitment process
•    Interaction data: content of exchanges, contact history, responses to our email campaigns
•    Website browsing data: cookies, IP address, statistical/marketing trackers, pages visited, date and time of connection
This data may be collected:
– Directly, when you provide it to us, in the following cases:
•    You contact Aneo
•    You apply for a job
•    You subscribe to our newsletter
•    You provide your data at events organised by Aneo
•    You are an Aneo partner
– Indirectly, in the following cases:
•    Through browsing data on the website (cookies and trackers)
•    Through our business partners
•    From publicly accessible professional platforms, such as professional social networks

4. Why do we process your personal data, and on what legal basis?

In accordance with the Regulations, the processing of your personal data by Aneo is lawful when it is based on one of the following grounds:
Your consent to the processing of your personal data. You may withdraw this consent at any time; or
The existence of a contract: the processing of personal data is then justified by the needs of performing the contract; or
A legitimate interest in processing your personal data, provided that this interest is proportionate and respects your fundamental rights; or
Applicable law or regulations.
Accordingly, Aneo processes your personal data on the following legal bases:
Recruitment:
•    Collection of applications: on the basis of pre-contractual measures, in order to assess your application.
•    Profile search: on the basis of Aneo’s legitimate interest in recruiting.
•    Building a talent pool: on the basis of your consent.
Direct marketing, events and prospecting:
•    B2B prospecting: on the basis of Aneo’s legitimate interest in carrying out sales and marketing activities and optimising the customer relationship over time. Consent is required for B2C prospects.
•    Management of contact forms: on the basis of pre-contractual measures if your request concerns a service or a quote; on the basis of the legitimate interest in recruiting for the collection of unsolicited applications; on the basis of the legitimate interest in answering a general question or a request for information.
•    Newsletter: on the basis of your consent.
•    Organisation of trade shows and webinars: participants’ data is collected on the basis of consent.
Relations with our partners:
•    Customer relationship management: on the basis of the performance of a contract.
•    Supplier relationship management: on the basis of the performance of a contract.
Statistics and performance:
•    Necessary/functional cookies: on the basis of our legitimate interest in providing a technically functional website.
•    Non-necessary/non-functional cookies and statistical cookies: on the basis of your consent.
Legal obligations:
•    Compliance with legal obligations (invoicing, accounting): on the basis of our legal obligation.
•    Responding to requests to exercise rights: on the basis of our legal obligation.

5. Who are the recipients of your personal data?

Your personal data may be processed by our employees according to the purposes of collection and their respective needs. We may also share it, for certain tasks related to these purposes and within the limits of their assignments, with the following categories of recipients:
•    Sales and marketing team
•    Recruitment team
•    Our subcontractors
•    Our partners responsible for data processing: HubSpot and AWS for hosting, Matomo for traffic statistics, and the marketing agencies we work with: If Else Agency for the development of our web pages and the Webikeo platform for the management of our webinars, with no data transfer outside the EU.
We may also be required to disclose your personal data to French authorities, administrations and courts, in particular in the context of legal proceedings or legal formalities requiring such disclosure.
We do not sell your personal data.

6. How is the security of your personal data ensured?

Aneo attaches particular importance to the security of your data, ensuring that it is stored under conditions that guarantee its integrity, availability and confidentiality, and implements, in accordance with the Regulations, appropriate technical and organisational measures. These measures include, in particular, practices such as:
•    Data encryption
•    Access to data restricted to strictly authorised persons
•    Regular backups
•    Access logging
•    Staff awareness and training in GDPR best practices

7. How long is your personal data kept?

We keep your data for as long as necessary to fulfil the purposes for which it was collected, in compliance with legal and contractual requirements.

8. Is your personal data transferred to third countries?

Aneo works mainly with service providers located in France. However, where necessary, the data we collect in the course of our business may be transferred to service providers located outside the European Economic Area.
In this case, we ensure that the transfer is made:
•    To a country whose level of protection has been deemed adequate by the European Commission;
•    Failing that, under Standard Contractual Clauses (SCCs).

9. What are your rights regarding your personal data?

In accordance with the GDPR, you have several rights regarding your data:
•    Right of access (you can find out whether we hold personal data about you and obtain a copy of it in an understandable format);
•    Right to erasure (you can ask us to erase your data under certain conditions, as this is not an absolute right);
•    Right to rectification (you have the right to correct inaccurate data or complete certain information about you);
•    Right to restriction of processing (you have the right to ask us to temporarily freeze the use of your data in certain cases);
•    Right to object (you may object at any time, on grounds relating to your particular situation, to the processing of your personal data);
•    Right to data portability (you can retrieve your data for personal use in a structured format, for processing based on the performance of a contract or on consent, and where the processing is carried out by automated means);
•    Right to set post-mortem instructions (you can set instructions regarding what happens to your personal data after your death).
